Under Article 92 of Labor Law No. 14 of 2025, each worker needs a file holding his details, contract, leave, penalties and proof of insurance. The employer may keep it on paper or electronically, for at least five years after employment ends, and only those the law authorizes may see it.
Step by step
- 1
Basic details
Name, profession, skill level on joining, address, marital status, start date, wage and any changes to it.
- 2
Contract and insurance
A copy of the employment contract, proof that the worker is insured with the National Organization for Social Insurance, and the initial medical examination.
- 3
Social insurance papers
With Form 1 the Organization asks for a birth date document, the national ID card, the qualification, the appointment decision or contract, and a medical fitness report on Form 111.
- 4
Service record
Leave, penalties, investigation records if any, and managers' reports on the work as the establishment's regulations provide.
- 5
Registration certificate
Article 33 requires the worker to hold a registration certificate from the competent administrative authority, and he may be hired without one provided he is registered within 30 days of starting work.
- 6
Keeping and producing the file
Provide the file to the administrative authority or the labor court on request, and keep it during any lawsuit until a final judgment.
Holding an employee's original certificates without a receipt is a common breach. Article 89 requires a receipt for any papers the worker deposits, and Article 175 requires them to be returned on request when employment ends.
